Step #1 - Enhancing Technical SEO and On-Page Optimization
The first step in any SEO effort involves perfecting your technical SEO.
This section can be somewhat technical, so you might want to forward it to your technical team and proceed to "Step #2 - Conducting Keyword Research."
For those without a tech team who want a simple summary, follow these steps:
- Install the WP Rocket plugin for WordPress. It optimizes various aspects of your website, significantly improving its performance.
- Use SMUSH to compress all images on your website without losing quality, which can greatly enhance loading speed.

Fundamental Technical SEO
- Sitemap.xml file: A well-structured sitemap helps Google navigate your site and locate all your content. If you're using WordPress, install YoastSEO or RankMath SEO, which will create a sitemap for you. Otherwise, utilize an online XML Sitemap generation tool.
- Proper website architecture: Ensure the crawl depth of each page is less than four, meaning any given page should be reachable with no more than three clicks from the homepage. To accomplish this, improve your interlinking (refer to Step #6 in this guide for more information).
- Serve images in next-gen format: Next-gen image formats (JPEG 2000, JPEG XR, and WebP) offer better compression than JPG or PNG images. For WordPress users, Smush handles this automatically. Otherwise, compress images manually and re-upload them.
- Eliminate duplicate content: Google penalizes duplicate content, so merge or delete any duplicate pages using 301 redirects.
- Update your 'robots.txt' file: Exclude pages you don't want Google to index (e.g., non-public or unimportant pages). For SaaS companies, this typically includes most in-app pages.
- Optimize all your pages according to best practices: Follow Google's general recommendations for web pages (maintain keyword density, include an appropriate number of outbound links, etc.). Install YoastSEO or RankMath to optimize your web pages.
If you don't have any pages you want to hide from Google, you don't need a robots.txt file.
Advanced Technical SEO
This section delves into more web development aspects, focusing on website speed optimization:
Ensure your website loads within 2-3 seconds on both mobile and desktop devices. Although load speed isn't a direct ranking factor, it greatly affects your rankings. Slow-loading websites often lead to high bounce rates. Measure your website's speed performance using tools like PageSpeed Insights. Common issues affecting website speed and loading time include:
- Images resized using CSS or JS, which increase loading time. Use GTMetrix to identify such images and resize them using online tools or Photoshop before re-uploading.
- Images not lazy-loaded. For pages with numerous images, enable lazy-loading so that images below the fold only load when the user scrolls down to view them.
- Gzip compression disabled. Gzip is a compression method that accelerates network file transfers, resulting in faster-loading HTML, CSS, and JS files.
- JS, CSS, and HTML not minified/aggregated/in-lined. Minify, aggregate, and inline files if your website's slow loading is due to numerous external JavaScript files and stylesheets being requested from the server.
Use Cloudflare and BunnyCDN together for an inexpensive, fast solution. Cloudflare offers a free account, while BunnyCDN operates on a pay-as-you-go basis, with a minimum monthly threshold of $1 unless you receive over 100K+ visits per month.
Step #2 - Conducting Keyword Research
With your website fully optimized, it's time to establish your SEO strategy, which begins with keyword research.
First, create a keyword research sheet as the central hub for managing your content operations. This sheet can help you:
- Prioritize content
- Monitor the publishing process
- Gain an overview of your web pages
The sheet should include the following information:
- Target search phrase: The keyword you're targeting
- Priority: The importance of the keyword, usually categorized as Priority 1 (low), 2 (medium), or 3 (high)
- Status: The current stage of the article, ranging from unwritten to published
- Topic cluster: The category the blog post falls under
- Monthly search volume: Assists in determining keyword priority
- CPC (low & high bid): Cost per click for the keyword; helps identify high-converting keywords (higher CPC typically indicates better conversion)
Now that you have your sheet and understand its purpose, let's discuss conducting keyword research.
A Step-by-Step Guide to Keyword Research
There are numerous ways to conduct keyword research (see "further readings" at the end of this section for more information). However, our preferred method involves the following steps:
- Identify your top five SEO competitors – companies with strong SEO presences in your niche. If unsure, search for the primary keywords describing your product and note the highest-ranking competitors.
- Analyze each competitor using SEMrush (or a similar SEO tool) to assess their SEO performance.
- Run each competitor through SEMrush's "Organic Research" to obtain a list of their ranking keywords. Extract relevant keywords and add them to your sheet.
- By analyzing your top SEO competitors, you should complete approximately 80% of your keyword research.
- To refine your research further, use UberSuggest to generate additional keywords. Input your primary keywords, and the tool will suggest related terms.
- Review the results from UberSuggest, extract any relevant keywords, and add them to your sheet. Your keyword research should now be about 90% complete.
At this stage, you can move on to the next step. Over time, you will likely discover new keywords to incorporate into your sheet, eventually reaching 100% completion. As you progress, continue to update and refine your keyword research to optimize your SEO strategy.
Step #3 - Develop SEO-Focused Landing Pages
In step #2, you collected numerous landing page keywords. Now, it's time to create suitable pages for each of them. This process is simpler than it appears. First, develop a custom landing page centered around the keyword. Depending on your niche, there are two approaches:
- Design a generic template landing page: Duplicate your existing landing page, adjust subheadings, rephrase some content, and add relevant images for the use-case. Choose this option if your target keywords closely resemble your primary use-case (e.g., "project management software" and "project management system").
- Develop a unique landing page for each use-case: Opt for this method if each use-case is distinct, such as a software that serves as both project management and workflow management software. In this situation, you'll need entirely new landing pages for each keyword.
With your landing pages prepared, optimize them for their respective keywords using an SEO tool. For WordPress users, RankMath or Yoast SEO can help. Both tools provide detailed guidance on optimizing your page for the keyword. If you're not using WordPress, SurferSEO is another useful option.
After launching your new landing pages, determine their placement on your website. Commonly, adding them to your site's navigation menu (header) or footer is recommended.
Once your landing pages are live, you might wonder when they will rank. Typically, landing pages are more challenging to rank than content. While content quality significantly impacts rankings, landing pages rely heavily on backlinks. For instance, if your competitor's landing page has 400 links and yours has only 40, it's unlikely you'll outrank them.
Step #4 - Produce SEO Blog Content
Let's now focus on content keywords and crafting content that ranks well. While these keywords don't indicate direct intent (searchers aren't explicitly seeking your product), they can still yield conversions. For instance, a digital marketing agency might target keywords such as lead generation techniques, SaaS marketing, or SEO content. People searching for these topics might be willing to pay for related services.
Additionally, blog post keywords are generally easier to rank for compared to landing pages. You can outperform competitors by producing superior content without engaging in a backlink battle. To create effective SEO content, concentrate on two aspects:
- Develop a comprehensive content outline
- Master the writing process
Here's a breakdown of each component:
Creating an SEO Content Outline
A content outline is a document outlining the article's essential information, usually including:
- Headers and subheaders
- Optimal word count
- Specific information for each article section
- SEO optimization requirements (if not using Yoast or RankMath)
Outlines are helpful when working with writers unfamiliar with SEO, as they can produce content that ranks without SEO expertise. Even if you're the writer, an outline provides a clear overview of the article's structure.
To create an outline, follow these steps:
- Set a target word count: Aim for 1.5x-2x your competitor's word count or match it if their content is comprehensive.
- Mimic your competitor's header structure, specifying which headers should be H2 or H3.
- Describe each header's purpose, borrowing ideas from the top 5 ranking articles.
- Clarify what the writer should mention under each header.
- Conduct research on Reddit and Quora to identify audience questions and valuable additions to the article.
Writing Effectively
High-quality content goes beyond providing an outline to a writer. Even if the writer covers all the necessary points, mediocre writing will deter readers from engaging with your article. Here are some essential tips for writing content or managing a team of writers:
- Write for your audience: Tailor your writing style to your target audience. B2B enterprise SaaS should lean towards a more formal and professional tone, while B2C consumer products can adopt a casual, relaxed style. Include pop culture references for added appeal.
- Eliminate fluff: Ensure every sentence adds value, whether it's conveying information, making a joke, or offering insight. Be as straightforward as possible and avoid unnecessary filler.
- Consider your audience's knowledge: Don't oversimplify concepts for well-informed readers. Cater to their existing knowledge to provide relevant and valuable content.
- Create a writer guideline: Establish a set of guidelines for your writers to follow or use an existing template.
- Use Grammarly and Hemingway: Grammarly serves as a personal editor, while Hemingway helps make your content more readable.
- Hire skilled writers: If you don't have time to write your own content, hire talented writers.
By following these tips and focusing on both the content outline and writing quality, you can create SEO blog content that ranks well and effectively engages your target audience.
Step #5 - Initiate Link-Building Campaigns
Links play a crucial role in helping your content or web pages rank higher in search results.
In competitive niches, links often determine which content ranks and which doesn't. For instance, in the VPN niche, high-quality content is a given, so the real competition lies in backlinks. When you search for "best VPN," top-ranking articles share similarities: well-written, long-form, easy to navigate, and well-formatted for an improved user experience. The deciding factor is the number of links. Using the Moz Toolbar Extension, you'll see that top-ranking pages have a minimum of 300 links, with some exceeding 100,000.
To compete, you need to focus on link-building strategies. In highly competitive SEO niches, it's not unusual for companies to spend $20,000 per month on link-building campaigns.
Don't be alarmed by the high expenditure on link-building; only evergreen niches like VPN, making money online, health and fitness, dating, CBD, and gambling are this competitive. For most other niches, minimal links combined with top-notch SEO content can help you rank.
Now, let's explore how to do link-building effectively.
4 Timeless Link-Building Strategies for Any Website
- Broken link building: Identify dead pages with numerous backlinks, contact websites that linked to them, and suggest replacing the dead link with your relevant content.
- Guest posting: A popular link-building strategy, guest posting involves writing content for blogs that accept guest posts, usually allowing 1-2 do-follow links back to your website.
- "Linkable asset" link building: A linkable asset is a high-quality resource that others naturally want to link to, such as infographics, online calculators, original research, or unique content. Create an outstanding resource and promote it extensively online.
- Skyscraper technique: Coined by Backlinko, this strategy involves finding link-worthy content on the web, creating something even better, and reaching out to the right people.
Link-Building Case Study: SaaS Marketing
The link-building strategy presented here consists of two steps:
- Identify your target audience's preferred online channels and create a list.
- Research the content your audience enjoys, create exceptional content based on that research, and promote it heavily in the channels from step 1.
In this case study, we describe our experience creating and promoting a comprehensive SaaS marketing guide, which generated over 10,000 traffic, 15+ leads, and 50+ links.
After creating the content, we promoted it through various channels, including:
- Reddit (r/entrepreneur and r/startups)
- Hacker News
- Growth Hackers and Indie Hackers
- Personal connections and clients
- Facebook and Twitter ads (limited success)
- Quuu promotion (limited success)
- SaaS and marketing Facebook groups
- Entrepreneur Slack channels
- Email outreach to those mentioned in the article and influencers
This promotional effort resulted in approximately 12,000 total page views, 15+ leads, and 6,000 traffic in just two days of promotion.
Regarding SEO results, we gained numerous links, including no-follow links from Reddit, HackerNews, and other submission websites, as well as several authentic links. The great aspect of this link-building strategy is that people link to your content without being prompted. By creating valuable content that helps people, you are rewarded with links, shares, and traffic.
As a bonus, just two months after publishing the article, it ranked at position #28. We expect it to reach the first page within a few months and the top 3 within the year.
Step #6 - Implement Internal Linking
Google takes into account the amount of time visitors spend on your website as a ranking factor. To encourage users to explore more of your content, it's essential to implement internal linking effectively.
Internal linking involves connecting each of your web pages to other relevant pages on your site. For instance, an article about "how to create a resume" could be linked to other related articles, such as "how to include contact information on a resume," "how to write a cover letter," or "differences between a CV and a resume."
Proper internal linking can significantly impact your website rankings. For example, NinjaOutreach increased their organic traffic by 40% by improving their internal linking strategy.
To optimize internal linking, follow these steps:
- Instruct your writers to include links to other relevant content on your site within each article. Add a guideline requiring each article to have at least 10 links to other content pieces.
- Although writers can usually identify 60-70% of internal linking opportunities, it's essential to ensure 100% coverage. Perform bi-annual internal linking audits to achieve this.
Internal Linking Audit
- Choose an article to interlink, such as one about "business process management."
- Identify existing articles on your blog that mention the chosen article's topic. Use the Google search query: site:yourwebsite.com "keyword" In this example: site:example.com "business process management"
- Google will generate a list of articles that mention the keyword "business process management."
- Go through each article and hyperlink the keyword to the respective article.
- Repeat this process for all synonyms or related terms for the chosen article. In this example, link "BPM" (an acronym for business process management) to the original article as well.
By implementing these steps, you can establish a strong internal linking structure within your website. This will encourage users to explore more of your content, improve user experience, and contribute positively to your website's search engine rankings.
Step #7 - Monitor & Enhance Your Headline Click-Through Rates (CTRs)
Headline CTRs significantly influence search engine rankings.
Suppose your article ranks at #4 with a 15% CTR. Google compares this CTR with the average CTR for that position. If the average CTR for position #4 is 12%, Google considers your article high-quality and rewards it with better rankings. Conversely, if the average CTR is 18%, Google might assume your article is less valuable and lower your ranking.
Thus, it's crucial to monitor CTRs for all articles and test different headlines for underperforming content to improve CTR.
Determining the average CTR can be challenging, as each search result is unique, and Google has introduced various search results types, like featured snippets and QAs. The average CTR varies depending on the number of these elements in search results for your keyword.
As a general guideline, consider these approximate CTR values by position:
- 1st position: ~31.73%
- 2nd position: ~24.71%
- 3rd position: ~18.66%
- 4th position: ~13.60%
- 5th position: ~9.51%
- 6th position: ~6.23%
- 7th position: ~4.15%
Keep in mind that these values can vary depending on factors like industry, PPC competitiveness, and zero-click searches.
Use a web scraping tool like Screaming Frog to extract the following information from your web pages:
- Page title
- Page URL
- Original headline
Remove pages that aren't intended to rank on Google. Next, use Google Search Console to obtain the following data for your web pages:
- CTR (28-day range)
- Average position
Compile all this information into a spreadsheet. Analyze your competitors' strategies and use them to generate new headline ideas. Then, add these ideas to the Title Ideas cell for the relevant keyword.
Develop 4-5 alternative headlines for each keyword and implement the best one for each article.
After making the change, note the implementation date in the Date Implemented column to track progress. Wait approximately 3-4 weeks to assess the impact of these changes on your rankings and CTR. If the results are unsatisfactory, document the findings in the respective cells and initiate another test for the following month.
